Poster Presentation Guidelines

Each presenter may utilize half of one side of the board – an area a maximum of 44.75″ X 44.75″ or 113 cm X 113 cm. Be sure to note these dimensions as you will not be permitted to extend into another presenter’s space. Posters can take up less than this space but not more. Each poster display board is mounted horizontally, and has a 8’ wide x 4’ tall display surface to be shared by two posters on each side. One Odd number poster and one Even number poster will be on each side so that they are not both presented at the same time . Push pins will be provided on-site. 

  • Allocate the top of the poster for the title and authors as stated on the submitted abstract
  • The text, illustrations, etc. should be bold enough to be read from a distance of two meters (six feet).
  • Please refer to the Poster Presentation Number you will receive once the program has been finalized which will also be listed in the Final Program books for the poster board number assigned to you. This will replace your original Abstract Submission Number.
  • Please use the board with the same number. Each poster board side will include an odd and even number for that session’s posters. All ODD number posters will be presented the 1st hour, and the EVEN number posters the second hour of the poster session you are assigned to.

Poster Session 1 – Sunday, June 30, 2024, 17:45 – 19:45

Set-up for Sunday posters begins on Sunday at 10:00 in the Statler Room. Posters must be removed following the session. If you are scheduled to present your poster on Sunday you are required to be at your poster to discuss your work using the following parameters: ODD numbered presentations 17:45 – 18:45 (i.e. P1.1; P1.3; P1.5 etc.); EVEN numbered presentations 18:45 – 19:45 (i.e. P1.2; P1.4; P1.6 etc)

Poster Session 2 – Monday, July 1, 2024, 20:00 – 22:00

Set-up for Monday posters begins on Monday at 10:00 in the Statler Room. Posters must be removed following the session. If you are scheduled to present your poster on Monday you are required to be at your poster to discuss your work using the following parameters: ODD numbered presentations from 20:00 – 21:00 (i.e. (i.e. P2.1; P2.3; P2.5 etc.); EVEN numbered presentations from 21:00 – 22:00 (i.e. P2.2; P2.4; P2.6 etc).

Online Poster Gallery

An online poster gallery will be available to all registered participants where delegates can search and view (NOT download) a pdf version of all posters to be presented. This will open one week before the meeting with an access email sent to all meeting participants. Downloads of the poster pdf’s will not be possible.

To be included in the Poster Gallery you must upload a one-page pdf of your poster to the abstract submission system by June 25, 2024. Please do NOT Tweet your poster until Saturday, June 29th 17:00 Eastern Standard Time.

The inclusion of your poster pdf in the online Poster Gallery is OPTIONAL but encouraged to help attendees search out your poster using keywords, author name, institutions, etc. Your poster pdf will be included in the online program if you choose to participate but will not be included in the Final Program/Book of Abstracts.

These are the virtual networking features available:

  • Digital ePosters are automatically tied to the original abstract record
  • Once scheduled, the ePoster will display in our online program and in a digital poster gallery organized automatically by topic, Presentation ID (not the original submission ID), title, speaker and organization.
  • Discussion boards are embedded for Q&A and ongoing discussions
  • ePosters will be available for all registered attendees
  • Poster presenters may also upload a video presentation of their poster which will be tied to the program and ePoster gallery
  • We encourage participants to use the networking features to invite meeting attendees to visit your ePosters AND in-person poster presentation, as well as through Twitter (highly encouraged) #ebvkshv and LinkedIn
